RESPONSIBILITIES & DUTIES:   

Position reviews academic transcripts and other documents for completion of transfer credit evaluations at the time of admission and for continuing students.  Provide, when necessary, advising, counseling, analysis, and assessment for students attempting to complete requirements relating to degree requirements.  The position requires extensive knowledge of Title 5 of California Administrative Code, Chancellor’s Office policies and regulations, national accreditation policies and campus requirements relative to Admission, academic credit policies, General Education and graduation.   

The incumbent provides front-line information in-person, over the phone, via Zoom and email, and advises students regarding their academic records and course registration; assists students on academic notice or dismissal to select suitable solutions and courses of actions; helps students to select and register for courses in a manner that supports timely progress to degree; and advises students on transfer courses that meet CSUCI requirements.  The incumbent also may support recruitment of students for University enrollment and represents the University at educational and community programs, events and activities, assists high school and community college counselors with admission and transfer information, general education and academic programs.  Counsels and advises prospective, newly admitted and continuing students regarding course articulation, general education, degree requirements, and university policies and regulations.  In addition, the incumbent serves as a resource for prospective transfer students and evaluates transfer applicants using appropriate criteria, knowledge and experience of records, transcripts, test scores, and other official documents required to clear students’ admissions. 

Work requires the application of knowledge and judgment in using the principles, techniques, regulations, standards, and guides of the Registrar’s Office and Admissions & Recruitment.  The incumbent must, at all times, uphold and abide by the Federal Educational Rights and Privacy Act (FERPA) and implement, communicate, and enforce federal, state, CSU system, and university policies and regulations.

REQUIREMENTS OF POSITION:   

Working knowledge of the practices, procedures and activities of the Registrar’s Office and Admissions & Recruitment; general knowledge of the methods and problems of organizational and program management.  General knowledge of research and interview techniques; and the principles of individual and group behavior. 

Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, campus colleagues and other private and public agencies; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus.  Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas.   

Bachelor’s degree from an accredited four-year college or university in one of the behavioral sciences, public or business administration or a job-related field.  Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. At least two years of experience in a Registrar’s or Admission office or equivalent combination of experience, providing outstanding service to prospective, admitted, and enrolled students.  A master’s degree in a job-related field may be substituted for one year of the professional experience.   

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.  Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.  Additionally, incumbent should recognize multicultural, multi-sexed and multi-aged values systems and work accordingly.   

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

Hiring Salary:  $4,304 per month
