  • Verifies academic records to determine special session undergraduate and graduate eligibility for admission to the university. Verification duties include, but are not limited to, calculation of grade point averages, processing transfer credit, sending correspondence such as admissions letters, advising prospective students, applicants, and interested parties concerning program admissions, and collaborating with the other departments across campus.
  • Review and discuss the admission and degree requirements with prospective applicants, review admissions packets for completeness of materials, and track applicant progress through the admission process. In consultation with Program Directors, provides input on admission decisions and process domestic admission decisions.
  • Responsible for Extended University student admissions record maintenance and quality improvement, provides a wide variety of admissions services to Extended University students, staff, faculty, and external organizations while maintaining the highest level of security, confidentiality, and attention to detail.
  • Must be able to interpret and explain admission policies to students as well as provide clarification on policies and procedures to other CSUCI departments and representatives from other institutions (e.g. Community College counselors).
  • Evaluate and analyze enrollment data and prepare reports for each application cycle and provide feedback to Extended University management to help improve processes and service to students.
  • Analyze admissions retention and attrition data to identify trends and potential solutions.
  • Demonstrate working knowledge of CSU policies and procedures as expressed in Title V and Chancellor's Office executive orders as well as knowledge of CSUCI academic policies and procedures and be able to apply that knowledge to situations regarding admissions.
  • Assist with the testing of feedback on the admissions module for PeopleSoft CI Records and other technology systems. Maintain working knowledge of campus curriculum requirements for Extended University academic programs.
  • Uses sound independent judgement in the absence of procedures and guidelines.
  • Supports front desk of Extended University when needed with walk-ins, calls, and emails.  
  • Responsible for creating email and other communication templates. Develop timelines and process to support students.
  • Other duties as assigned.


  • Minimum requirements: Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field.
  • One -two years of professional experience in one of the student services program areas or in a related field.A master’s degree in a job‑related field may be substituted for one year of the professional experience.
  • Knowledge and Abilities: Working knowledge of the practices, procedures, and activities of the program to which assigned; general knowledge of the methods and problems of organizational and program management.
  • Strong student relationship management skills including strong organizational, prioritization, and time management skills.
  • Ability to provide excellent customer service.
  • Knowledge of and fluency with digital tools such as Office 365, Teams. Peoplesoft and Liaison a plus.
  • The ability to handle multiple tasks simultaneously, work independently, prioritize workload and meet deadlines.
  • Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required recognize multicultural, multisexed and multi‑aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned.
  • Excellent written and verbal communication skills including the ability to communicate complex ideas, understandably, and tactfully.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.  Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

Hiring Salary:  $4,304 per month
