Working independently performs administrative support functions in a complex program office environment. Plans and executes large scale, complex projects with broad, visible impact that involve collaborating with other departments. Prepares and tracks project expenditures against project budgets and prepares budget reports. Processes and routes Chartfield Request forms, Requests for Information (RFI), Requisitions/Requests for Goods & Services (RGS), Invoices, Proposed Change Orders (PCO), Change Orders (CO), Field Instructions, Submittal Logs, and project status reports. Reviews reports, researches discrepancies between purchase orders, invoices, and change orders, and conducts reconciliation of FS records. Analyzes, compiles, and distributes documents and electronic files used in design, engineering, and construction projects. Completes CPDC forms for submission to Chancellor’s office. Processes database reports; submits quarterly project updates and miscellaneous project documents for projects in design and projects in construction for submission to Chancellor’s office. Attends and prepares documentation for recurring construction budget/status meetings for all projects and their analysis, budget planning, and updates. Schedules project meetings for FS administrators and updates calendars. Completes and submits forms or online requests to Finance and Purchasing. Extensively uses of ProLog, MS Project, Construction Management and Project Scheduling software for contract administration tasks. Files paper documents and electronic files using Planning, Design and Construction Document Control Filing System. Assists administrators in preparing documents for financial and performance audits. Handles multiple projects and priorities. Interprets and applies specialized policies and procedures. Scans and prints large-scale engineering drawing files as needed by FS Administrators. Provides general office administration functions and customer service, preparation of general office correspondence, and other duties as assigned. Receives, reviews, and provides information or refers the issue/inquiry to an appropriate position, for a high volume of telephone calls, emails, and walk-in visitors, and conducts business with a high degree of professionalism, discretion, and confidentiality. May be involved in planning and coordinating work in the unit and provides lead work direction, training, and guidance for student assistants. As time permits, provides similar support to the Senior Director of Engineering Services, and Managers who report to the Senior Director of Engineering Services.


Experience: At least three years of progressively responsible administrative experience in engineering, design and/or construction projects which has provided the above knowledge and abilities or any equivalent combination of education and experience which provides the required knowledge and abilities.

Knowledge: Requires a comprehensive knowledge of construction contract and administration support, thorough knowledge of Office software and general office procedures. Knowledge of construction management processes as related to the design and construction of major building and public works projects is desired. Thorough knowledge of construction management software (Expedition, ProLog or equivalent) and Project Scheduling Software (MS Project)) is desired.

Abilities: Ability to interpret a wide variety of written rules and regulations; maintain records for multiple construction projects, programs, or activities involving multiple documents and transactions; reconcile financial data; investigate and resolve errors and discrepancies; and read and interpret computer generated reports. The incumbent must possess excellent interpersonal skills in order to interact and communicate effectively with management, staff, co-workers and representatives from other agencies. Ability to successfully complete the Defensive Driver Training Program. Must have the ability to provide proof of eligibility to lawfully operate a motor vehicle in the state of California

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

This position is eligible to participate in the telecommute program.  Approval should come from the department administrator and reviewed every six months, as the business needs may change at any given time.

Hiring Range: $4,300-$4,800 per month
