Student Coaching and Admission Activities

Evaluates, analyzes, assesses, and reports on admissions for each application cycle, relaying appropriate feedback to continue to improve service to students. Assists students by answering questions, explaining various documents and platform navigation that may be required for the application cycle including transcripts, test scores, and documents related to admissions processes. Fosters persistence and completion by maintaining connection with newly enrolling students, including check-ins, scheduled meetings for proactive outreach support, and communication. Refers students to appropriate academic personnel and campus support resources and collaborates with others to admit, monitor, and/or accelerate the academic progress of the students being responsive to questions, needs, and concerns. Responsible for maintaining current knowledge of the admission and degree requirements to inform students, reviews admission submissions, completes verifications, and tracks applicants to determine admission decisions, followed by providing quality customer service to the students during ongoing communication of the process. Utilizes approved admission, records, and other related campus policies and practices.  

Relationship and Communication

Provides professional communication and representation of the university in developing and maintaining community, industry, regional, and campus (external and internal) connections to support current and potential relationships and partnerships from the focus of supporting a positive overall student experience. Utilizes effective and caring communication to coach students toward program options that meet their educational goals. This may include but is not limited to communication of various aspects of the student experience from inquiry through the role of the enrolled student including advising, admission processes, and support through overcoming obstacles. Utilizes technology, public speaking skills, and all presentation materials to deliver effective multimedia presentations to program and certificate partners and students. Participates in appropriate student success and recruitment events, including open houses, tabling events, information sessions, classroom visits, graduation, regional presentations, training sessions, and other relevant events. Keeps abreast of current offerings/programming and CSUCI information to use for presentation purposes.

Technology and Reporting

Maintains an up-to-date future calendar of communication, admission, and onboarding activities impacting student success in the established communication platforms and coordinated with programming leads/directors (credit). Maintains knowledge and competency in use of technology required for assessing, tracking, admissions, reporting, and enrollment processes, including but not limited to PeopleSoft CI Records, Airtable, EAB, Cal State Apply etc. to continually improve processes and service to students. Provides recurring reporting communication throughout the application cycle on outreach, admissions, onboarding, and the student experience to inform practices.

Other Duties as Assigned

This work may include, but is not limited to special projects for the Director of Enrollment Management and Outreach, Associate Dean, or Dean, event attendance, conference attendance, etc.


Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field. Possession of the required knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A master’s degree in a job-related field may be substituted for one year of the professional experience.

This classification requires fundamental written and oral communication skills including a sound foundation in grammar, spelling, and punctuation, including the ability to communicate complex ideas with clarity and tactfully; an ability to understand standard office procedures; an ability to learn office technology systems; an ability to perform basic arithmetic calculations; and typing and keyboard skills. Working knowledge of the practices, procedures, and activities of student recruitment; general knowledge of the methods and problems of organizational and program management. Demonstrated ability to create and foster positive working relationships with administrators, faculty, staff, students, student organizations, public and private agencies, among others. Preferred experience in evaluating admissions files and accurately determining admission. Ability to create presentations using related software and familiarity with office-related software used for word processing and creating spreadsheets. Ability to provide excellent customer service. Ability to handle multiple tasks simultaneously, work independently, prioritize workload, and meet deadlines.

Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretive information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required recognize multicultural, multisexed and multi aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned. Knowledge of and fluency with digital tools such as Office 365, Teams, Peoplesoft, and Liason is a plus.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.

This position is eligible to participate in the telecommute program.  Approval should come from the department administrator and reviewed every six months, as the business needs may change at any given time.

Hiring Range:  $4,304 - $4,400 per month
