Administrative Analyst Specialist - Exempt I

This is a grant supported position subject to annual renewal of grant funds – no permanent appointment will be reached from this position.

RESPONSIBILITIES & DUTIES: 

Works closely with the SOAR at CI Project Director to lead and oversee program planning, design, and implementation to meet the objectives and deliverables associated with SOAR’s Channel Your Passion activity, including building students’ academic skillsets, developing students’ sense of academic efficacy and motivation, increasing a sense of connection to the university, and preparing first-generation college students to become successful “first generation professionals” with culturally relevant career development and post-graduate outcomes support curriculum. Analyzes outcomes of the programs and provides feedback for improvements and continued development.

Develops and implements Channel Your Passion programming with a focus on retention and student success efforts; independently plans, designs, implements, and evaluates culturally relevant student retention and academic success programming for Latinx, historically underrepresented, and low-income students. Responsible for student recruitment, cohort development, and student participant program orientation. Oversees the implementation of student success workshops facilitated by faculty; check-in sessions focused on high impact practices to increase motivation and confidence and career preparedness workshops; and study sessions to be implemented as part of student success and retention program. Recruits, hires, trains, and provides lead work direction to Channel Your Passion peer mentors, providing, tracking, and coordinating assignments. Acts as a representative of the university, department, and project to outside entities.

Provides coordination and administrative support for student success workshops, check-in sessions, and study sessions, working closely with the Channel Your Passion faculty lead and faculty cohort facilitators. Plans and implements marketing materials and application process for Channel Your Passion; manages related activities and ensures that all related documentation is organized and on file. Coordinates with university partners to implement the Channel Your Passion activity.

Collaborates with professional staff to implement the student employee hiring plan and providing student employees with direction, training, and oversees their day-to-day work. Provides support for department-wide initiatives including retention and student success efforts and logistical and facilitation support for the PEEP (Peer Education & Equity Programs) program. Works collaboratively with campus partners on related retention and student success efforts.

Performs a variety of large-scale administrative functions in coordination with the SASEI department and the SIGUE unit to implement Channel Your Passion programming and support overall grant and department goals. Provides administrative and analytical support with activity-level logistics including expenditure processing, preparation of consulting paperwork, travel coordination, on-campus and regional meeting coordination, event planning and preparation, and initiative budget and expense planning and tracking. Assists with activity evaluation planning, collects and maintains relevant data, develops reports, and prepares written reports and presentations that contribute to  monthly and annual reporting summarizing the progress of grant activities. Maintains all project-based record-keeping needed for relevant grant reporting, independently tracks participant data according to CSUCI and federal reporting guidelines, and maintains records to achieve programmatic goals and desired results. Develops program materials, curriculum, marketing materials, social media campaigns, communication materials, etc. Troubleshoots problems and develops, recommends, and evaluates proposed solutions to support the continuous improvement of programming. Interprets and applies policies and procedures to ensure that operations comply with university, educational partners, and sponsor’s regulations, and maintains appropriate records. Performs related duties as assigned.

REQUIREMENTS OF POSITION: 

Minimum of a bachelor’s degree and 2-years of experience coordinating student success services in a higher education setting or comparable work. Demonstrated experience working with students from Historically Underrepresented Groups (HUGs) and interest in working in a fast-paced, multi-ethnic, multicultural environment. Excellent organizational, communication, multitasking, and interpersonal skills. Must be detail-oriented, dependable, punctual, and able to communicate effectively with a variety of people, including, but not limited to students, faculty, staff, guests, and administrators. Must have administrative experience and functional knowledge of standard office procedures and practices including advanced Microsoft Office Suite and other software skills (including Word, Excel, Outlook, PowerPoint, Publisher, Adobe Suite, One Drive, iOS, and social media). Experience preparing and facilitating presentations. Ability to prioritize multiple assignments and see a project through from planning to implementation, follow timelines, and meet deadlines. Ability to work independently in the day-to-day coordination of work assignments and work as part of a larger team. Ability to provide lead work direction and training to staff, faculty, and/ or student employees. Possession of excellent written, and verbal communication skills. Ability to develop and maintain cooperative working relationships with staff, faculty, student employees, and other campus departments. Capacity to quickly absorb new information and use judgement and discretion to act when precedents do not exist. Ability and willingness to learn new skills and technology systems/software to support program goals and objectives. Demonstrable use of diplomacy, tact, and discretion. The candidate must maintain the confidentiality of student information at all times (as per FERPA).

OTHER: Occasional travel and flexible hours including evenings and weekends to support students.

PREFERRED QUALIFICATIONS: Experience in coordinating student success services. Bilingual (Spanish) proficiency preferred. Master’s degree in a related field or equivalent experience. Proficiency with Zoom, Microsoft Teams, Adobe, and/or OneDrive.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Hiring Salary:  $4,170 - $4,334 per month
