Salary and Benefits

Salary Range: $5,540.00 per month to $7,893.00 per month. PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $5,540.00 per month to $6,716.00 per month.

About the Position

The Student Resources Specialist position primarily focuses on providing comprehensive academic advising to undergraduate students, assisting with academic planning, graduation eligibility, course substitutions, transfer credit evaluations, and student success initiatives. The role involves working closely with students regarding academic concerns, probationary status, and ensuring compliance with university policies. Additionally, it includes managing the scholarship process, guiding students and advisors on course articulation, and coordinating with the Study Abroad office for credit transfer.

The position also requires active participation in university committees, professional development, and campus events like New Student Orientation. Other responsibilities include maintaining effective communication with the campus community, contributing to the improvement of advising processes, and training staff as necessary. 

Responsibilities

Academic Advising

  • Advise students (primarily undergraduate) on academic university policies and procedures, including major, university requirements/GE, alternate majors, course substitutions, petitions and referrals to other campus resources, if necessary.
  • Identify undergraduate academic problems and develop individual student solutions, especially for those having academic difficulty or are on probation.
  • Make determinations on applicability of military, test, and course transfer credit to degree requirements and ensure that approvals are properly recorded.
  • Develop and share academic plans for assigned CBE students within established deadlines.
  • Determine graduation eligibility and complete final major and/or minor checks, assessing academic documents, assisting students in appropriate appeal processes, and advising on required requirements via one-on-one meetings, phone, email, and message communications.
  • Utilize technology platforms (i.e. Bay Advisor, uAchieve, PeopleSoft, Microsoft Office/Google Suite programs) to develop student success reports, tracking, and proactive advising interventions.
  • Report student system issues and recommend solutions where appropriate.
  • Ensure all e-mails to the shared email account and automated form submissions are responded to in a thorough, accurate, and timely manner.
  • Assist Student Support & Success Coordinator to facilitate registration processes each term and find ways to improve procedures.
  • Abide by all ethical, professional (i.e. Appreciative Advising) and educational (i.e. FERPA) standards related to educational advising and counseling and demonstrate sound professional judgment when making decisions related to students, CBE, CSUEB, and related stakeholders. 

Student Resources Specialist

  • Collaborate with Department Chairs, Scholarship Committee, and Director of Development to assist students with the scholarship application process, including providing advice on how to complete forms and meet deadlines.
  • Help advisors and students understand scholarship eligibility requirements and identify suitable opportunities based on their qualifications.
  • Facilitate communication about scholarship award decisions to students, including explaining the terms and conditions of their awards.
  • Advocate for students, ensuring their needs and concerns related to scholarships are addressed and considered.
  • Collaborate with faculty and academic advisors to verify proper alignment of transfer credits with institutional requirements.
  • Coordinate with advisors to obtain course syllabi, descriptions, and additional information needed for accurate course articulation. Maintain clear communication channels with advisors to resolve discrepancies or gather missing details.
  • Act as a liaison between department chairs, advisors, and the Articulation Officer to facilitate the review of transfer courses and the recording of outcomes for future use in the Transfer Equivalency System (TES). Troubleshoot issues and offer training as necessary to ensure effective use of TES for course evaluation and articulation processes.
  • Assess coursework eligibility and submit verified requests via the SQL process to Student Systems; reconcile any errors.
  • Serve as the primary point of contact between CBE advisors, students, and the Study Abroad office to facilitate the approval of international courses for credit transfer. Ensure students receive timely guidance on course equivalency processes.
  • Liaise with CBE faculty to review study abroad course materials and determine if they meet the institution's academic standards. Provide students with the steps for submitting GE articulation requests. Facilitate communication between departments to resolve any discrepancies in course equivalencies. 

Meeting and Professional Development Activities 

  • Meet regularly with Student Support & Success Coordinator to follow-up on action items and oversee special projects.
  • Serve on appropriate university committees, representing the interests of CBE and its constituents.
  • Establish collaborative relationships with internal and external constituencies, most importantly other Academic Affairs and Student Affairs departments.
  • Attend workshops and conferences to keep abreast of new developments in issues addressing student retention, academic advising, career education, and internships.
  • Participate in on and off campus professional development programs and activities. 

Minimum Qualifications

Knowledge 

  • Thorough knowledge of the principles of individual and group behavior.
  • General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned.
  • General knowledge of individual counseling techniques.
  • General knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
  • Working knowledge of student services programs outside the program to which immediately assigned.

Abilities

  • Ability to analyze complex situations accurately and adopt effective courses of action.
  • Advise students individually and in groups on complex student-related matters.
  • Determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature.
  • Interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action.
  • Carry out a variety of professionally complex assignments without detailed instructions.
  • Establish and maintain cooperative working relationships with a variety of individuals. 

Experience 

  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience.
  • One year in the program area to which assigned may be preferred but is not required.
  • A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience.
  • A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

Education 

  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related. 

Preferred Skills and Knowledge

  • Knowledge of student success and effective academic advising practices in higher education.
  • Experience in determining courses of action and proper techniques to utilize while engaged with individuals in personal interactions of a sensitive nature.
  • Excellent oral, written, and organizational skills, and ability to respond quickly and accurately to requests from students, faculty, staff and external entities.
  • Knowledge of CSUEB academic administrative processes and policies. Knowledge of scholarship processes and policies, including the Federal Disclosure Verification and Student Fund Reporting Form.
  • Ability to interpret scholarship agreement guidelines and eligibility requirements; and ability to convey that information to students.
  • Ability to work collaboratively and collegially with highly diverse faculty and staff.
  • Ability to analyze complex situations accurately and adopt effective courses of action. 
  • Ability to carry out a variety of professionally complex assignments without detailed instructions.
  • Project management skills as needed to carry out the responsibilities outlined.
  • Ability to coordinate multiple tasks and projects.
  • Excellent time management skills.
  • Flexibility and willingness to respond to other duties as assigned.
  • Excellent technical skills, such as expertise with a variety of university software systems, such as PeopleSoft, EAB Navigate, Scholarship Universe, as well as database, website and spreadsheet programs.
  • Operate standard office equipment and software including Oracle's PeopleSoft, EAB, Adobe Sign, CSU Student Success Dashboard, Scholarship Universe, Google Education Suite, and Microsoft Office (Access, PowerPoint, Excel, and Word).
  • Ability to sit for long periods of time; ability to stand up and sit back down frequently throughout the day.

Condition(s) of Employment
