Administrative Support Coordinator I

*** Temporary Appointment for up to 1 year.  Position may be renewed annually, based on budget. ***

RESPONSIBILITIES & DUTIES: 

Performs standard clerical work such as processing mail and email; prepares and composes correspondence, reports, and other documents; creates and maintains standard and electronic records, files, and recordkeeping systems; arranges meetings and events; makes travel and other arrangements; orders and maintains supplies; troubleshoots office technology problems and systems; and performs other general office support and maintenance activities. Coordinates a range of projects and provides support to the AVP for FASE and to the Directors of FASE and FD. Maintains, reviews, and updates budgets for FASE and FD. Coordinates and submits forms or online requests to Finance, purchasing, and HR/Payroll by completing and submitting forms related to travel, finance, human resources, and payroll. Enters and processes special pays, invoices, and position management action forms (PMAF).

Interacts with a variety of campus and community constituents including working with students, faculty, and staff to assist them or resolve problems; networking to build campus relationships to expedite work and projects; coordinating work and projects; and serving as a primary contact and/or resource to outside parties, such as vendors, governmental agencies, and/or to top level administrators.

Coordinates and secures locations, supplies, tech support, and food orders for FASE and FD events. These events include new faculty orientation every semester, chair workshops, and faculty development events throughout the year.

Other duties as assigned.

REQUIREMENTS OF POSITION:

Minimum of three years in a progressively responsible general office/administrative/analytical work experience. Experience and knowledge of interactive database systems such as PeopleSoft to manage personnel functions. Excellent verbal and written communication skills and the ability to effectively communicate with all levels within the university and maintain productive and effective working relationships amongst diverse populations including staff, faculty, administrators, students, and other internal and external constituents. Ability to manage multiple projects at any given time and prioritize and set reasonable goals to accomplish various projects in a timely manner. Ability to respond to and professionally handle a high volume of walk-in, telephone and email inquiries with a high degree of professionalism, discretion and confidentiality. Ability to take initiative and anticipate needs/problems within FASE and FD. Ability to creatively problem-solve independently or as a team member. Ability to analyze, interpret and apply University policies and procedures. Ability to complete work with a high level of accuracy and attention to detail. Must be flexible and responsive to changing priorities and work assignments. Must be trustworthy and discreet when dealing with sensitive and confidential information. Advanced proficiency with computers, Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and familiarity with using the internet to research and obtain information related to assigned projects. Must be willing and able to learn new management systems as needed. Bachelor’s degree strongly preferred.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.  Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as of July 21, 2017, as a condition of employment.

This position is eligible to participate in the telecommute program.  Approval should come from the department administrator and reviewed every six months, as the business needs may change at any given time.

Hiring Range:  $3,505 - $3,700 per month
