Administrative Analyst/Specialist - Exempt II


Outreach: Independently conducts outreach and job development activities including meeting with employers through various methods. Develops and delivers presentations to cultivate new relationship with employers showcasing employer partnership opportunities with the University. Engages employers and develops strategies to maximize employment opportunities for academic programs including internships and employment positions. Coordinates all outreach and communication with employers through workforce development agencies, Chambers of Commerce, Economic Development Boards, and other professional groups. Establishes long-term partnerships with faculty to engage employers in academic programs. Coordinates all follow-up from outreach including facilitating linkages to various faculty, student organizations, and other campus partners.

Employer Relations: Oversees day-to-day operations of employer relations and provides lead work direction to other professional or administrative staff with accountability for results. Manages heavy volume of email, telephone calls, and written inquires with professionalism and diplomacy. In collaboration with the Career Development and Alumni Engagement (CDAE) team, markets, administers, and evaluates all aspects of campus recruitment (e.g., career fairs, employer interviews, job/internship portal, information sessions, employer meetings/site tours). Expands the quantity of high-quality career related internships and part-time/full-time employment opportunities available for students and alum through various employer outreach efforts. Develops and oversees the annual recruiting calendar with a focus on long-term planning applying employer engagement strategy. Utilizes web-based Career Services Management Software (e.g., Symplicity) to coordinate recruiting activities and job/internship postings. Coordinates with Director to enhance employer communication, including email outreach, direct marketing, public relations, site visits, and phone/web conferencing. Networks with Chambers of Commerce, employers, and professional associations for recruiting purposes. Markets services, programs, and candidates to employers to build external relationships, sponsorship opportunities, and career opportunities. Promotes a positive and professional image of CDAE, the University, and our students/alum to prospective employers and the campus community.

Alumni Engagement: Collaborates with CDAE team to identify, contact, and build relationships with alumni in various industries to offer internships and entry-level opportunities to students and recent graduates. Promotes mentorship program to alumni recruiters as a method to engage in talent acquisition and support student development. Partners with CDAE team to engage alumni recruiters for on-campus and virtual and networking programs to enhance greater contact between students and alumni. Engages alumni to expand career preparation experiences for students (e.g., alumni recruiters, mentors, and industry guest speakers).

Corporate Relations and University Development: Develops and maintains relationships with strategic employers for the advancement of the University. Interacts with Development colleagues to foster and deepen University 

partnerships. Contributes to and maintains a substantial role in providing consultative and strategic thinking during Corporate Engagement Meetings with Development Team aligning corporate development and employer engagement. Systematically shares knowledge of recruiting and industry trends at corporate companies with the Development Team ensuring current information and notes are in the development database (e.g., Raiser’s Edge). Utilizes tools such as company research, recruiting activity, employment reports and LinkedIn to prepare industry or company-specific briefs and will present/communicate during Corporate Engagement Meetings. Serves as the prime contact for the employer relations representing the department and University. Manages employer relationships with outside entities or agencies.

Research & Reporting: Independently researches, develops, and disseminates information on industries, economic trends, and new emerging markets to CDAE team. Regularly reports on outreach strategies, target areas, identification of new employers, progress with leads, contacts, results, and employer recruiting involvement. Tracks all employer engagement on Career Services Management Software (e.g., Handshake) and Corporate Engagement on Development Software (e.g., Raiser’s Edge). Uses applicable information systems and applications in analysis, research, and reporting activities and projects. Assesses, formulates, and evaluates the impact of recommended or implemented policies from a strategic and operational perspective. Uses judgment in the development of policies and procedures related to issues frequently not covered by existing policies and procedures. Precedents and policies to guide development activities may be available for reference. Uses appreciable ingenuity and innovation to conceive of new approaches and solutions to address complex problems and issues. Evaluates plans, programs, and activities to ensure optimal quality and effectiveness; makes recommendations for improvement or changes, as necessary.

Career Support: Promotes employer participation with career fairs, career education workshops, employer panels, networking events, campus interviewing, job posting, and all other career programming. Assists with the facilitation of career programming and events in partnership with CDAE team. Works in collaboration with CDAE team to provide information on industry trends, recruiting best practices, and employer feedback regarding candidates. Advises students on recruiting policies, procedures, and logistics; works with students to resolve conflicts between students and companies, monitors student satisfaction and recommends improvements; and acts as student resource and advocate. Provides day-to-day oversight to student assistants.

Diversity, Equity, and Inclusion: In partnership with CDAE team, develops initiatives for the Career Center related to diversity, equity, and inclusion. Serves in an active role to advance a culture of inclusive excellence and ensure department is rooted in the core values of equity, justice, and inclusivity. Commits to providing inclusive support and resources to enable all students and alumni to seek job and internship opportunities with organizations who honor, respect and practice diversity, equity, and inclusion in the workplace.

Bachelor’s degree and five years of progressively responsible experience in career services, non-profit, or corporate relations. Master’s degree in Higher Education or related field preferred. Five years of related professional and management experience in a large complex environment, with experience in project management and facilitation is mandatory. Experience in higher education administration, recruiting, or public relations is highly desirable.

Excellent verbal and written communication skills, effective presentation skills, and a working knowledge of the practices, procedures, and activities exercised within the Division of University Advancement. Demonstrated desire and drive for learning that enhances individual performance and contributes to organizational effectiveness. Must be self-directed and proactive while advancing work and achieving results. Thorough knowledge of outreach, recruitment, employer development and networking practices. Ability to build and manage sophisticated employer contacts and networks. Strong writing and editing skills to quickly produce clear and concise standard documents for internal and external publication. Exceptional interpersonal skills, including strong public speaking, listening and interpretive skills. Demonstrated customer service experience requiring a very high level of diplomacy and professionalism. Must possess excellent teamwork and customer services skills. Ability to use tact and diplomacy to effectively handle a broad range of high level and communication techniques. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population.

Commitment to providing excellent customer service in a fast-paced open environment. Ability to work under pressure and time constraints. Thorough knowledge of program development including ability to effectively and efficiently develop and execute several key projects simultaneously and to remain organized despite frequent interruptions is essential. Demonstrates ability to learn and apply CSU policies related to student internships and Department of Labor Fair Labor Standards. Proven ability to manage multiple complex projects and assignments in a consultative, efficient, and effective manner. Extensive and in-depth knowledge in project management including research and analytical methodologies. Ability to understand and analyze complex problems from a future-oriented and broad interactive perspective and readily develop proactive solutions that integrate strategic goals into tactical operations. Ability to effectively establish and maintain cooperative working relationships (e.g., faculty, staff, students, administrators, and employers) within a diverse multicultural environment. Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements. Ability to maintain confidentiality and appropriately handle sensitive communications with students, colleagues, employers, and external agencies. Strong computer skills (e.g., Microsoft Office); experience with database and web-based software; and ability to quickly learn and keep current with new technologies (e.g., LinkedIn, Raiser’s Edge, Symplicity). Must be able to maintain a dependable, prompt work schedule congruent with office operating hours. Position is required to work occasional early morning, evening, or weekend hours with advanced notice.

Hiring Salary: $5,500 - $5,750 per month
